Group Bookings

If your organisation would like to make a Group Booking or place accommodation at hotels not listed on this website, the Accommodation and Tours Managers can secure rooms and negotiate group rates on your behalf with the hotel of your choice. Deposit

Rooms are being held by the Accommodation and Tours Managers on behalf of the attendees until 15 September 2010. All hotel accommodation bookings must be accompanied by a minimum one night’s room rate in order to secure a reservation. The Accommodation and Tours Managers will accept accommodation deposits up until 15 September 2010 and will settle the deposit with the hotel. Attendees must settle the balance of their account with the hotel concerned upon check out.

Late bookings can be made through the Accommodation and Tours Manager after 15 September 2010 but are subject to availability and credit card details are required to secure the reservation. One nights room rate will be deducted from the supplied card, by the hotel, if the reservation is cancelled or the delegate fails to arrive on the specified date.

How To Book Accommodation

To book complete the Online Booking Form.  The Accommodation and Tours Managers will forward your contact details, reservation and deposit or credit card details to the hotel of your choice.

Change of Booking

Any change to a reservation must be notified to the Accommodation and Tours Managers and not directly to the hotel.  Please note that any changes should be made to the Accommodation and Tours Managers by 1 October 2010

Late Arrivals

Please indicate on your registration form or notify the Accommodation and Tours Managers in writing if you will arrive at your hotel after 6.00pm, failure to do so may mean that your room will be released.

Check-in and Check-out times

Check-in time is generally 2.00pm and Check-out time is 10.00am.  Should you wish to guarantee check-in before 2.00pm you will need to pre-book, and pay for the previous night.  If you wish to guarantee a late checkout you will need to book for the next night.  These additional nights can be booked at the time of making your reservation. If required please indicate on your booking form.

Hotel Check in Procedures

As per standard hotel policies and procedures attendees will be required to provide a credit card or full cash payment upon check in. This is to cover any incidental charges incurred during your stay and all remaining unpaid room nights, regardless if your booking was guaranteed by a deposit to secure your booking. 

The hotel will hold on your credit card, until point of check out, an amount generally equal to all unpaid accommodation nights reserved plus a daily amount for incidental charges. They will not physically retain the credit card. If you will be settling your accommodation account by cash you will be asked to pre pay for your accommodation in full plus a cash deposit for incidentals. Should you not utilize any incidentals during your stay the cash deposit, for incidentals only, will be refunded to you by the hotel upon check out. Please note the daily incidental charge may vary across the listed hotels. 

Accommodation Cancellation Policy

The deposit is non-refundable at 15 September 2010 and will be forfeited if you do not arrive on the date for which you have booked or you cancel your accommodation. Cancellations must be made in writing to the Accommodation and Tours Managers.

Insurance

Rates do not include insurance of any kind. It is strongly recommended that at the time you book your accommodation for the congress and book your travel you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the congress, or through cancellation of the congress, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Australia, failure to utilise tours or pre booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses (including sickness and accident cover), loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Accommodation and Tours Managers cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin.
